Communications Manager And Virtual Receptionist
Remote | Full-Time | $5?$10/hour | U.S. Eastern business hours
About Us
We operate a portfolio of 12+ local home service brands across the U.S., plus a retail medical supply business with two physical locations and a national mail-in channel. Every brand has its own identity, its own customers, and its own voice. Your job is to own all of them.
The Role
You hold the Communications Manager title from day one ? and you're on the phones too. Answering inbound calls across our brands, professionally and in the right brand voice every time, is a core part of this job, not a stepping stone or something beneath the title. As the phone team grows under you, more of your time shifts toward brand voice, customer journeys, and managing the receptionists you recruit.
You will:
Own brand voice across the entire portfolio ? how each brand sounds on calls, in emails, in SMS, and in review responses
Handle inbound customer calls and customer service across all brands
Map complete customer journeys per industry ? what a customer experiences from first Google search to finished job in land clearing vs. painting vs. roofing vs. HVAC
Identify friction, gaps, and inconsistencies in those journeys and document the fixes
Recruit and vet new virtual call receptionists as the phone team grows ? source candidates, screen for voice quality and accent, and onboard them to brand standards
Hold every client interaction to the standard the owner would deliver personally
When you're not on the phone, you're deep in journey mapping and brand voice documentation. There is no idle time in this role.
Requirements
Neutral English accent ? non-negotiable. You will be the voice of American local service brands.
Exceptional spoken and written English ? bright, articulate, and precise
Sales or customer-facing experience ? you understand how a customer thinks, objects, and decides
Systems thinker ? you can take something messy and turn it into a documented, repeatable process
Highly organized with a logistics mindset ? recordings, files, and processes stay named, filed, and findable without anyone asking
Self-directed ? you fill your own downtime with high-value work without being told
Comfortable switching context across many brands and industries in a single day
Tools You'll Work In
GoHighLevel ? required. Calls, SMS, conversation inboxes, pipelines, and contact records. This is your home base all day.
Meta Business Suite ? Messenger and comment inboxes across multiple brand pages
Google Business Profile ? responding to reviews in each brand's voice
Airtable ? where journey maps, SOPs, and documentation live
Google Docs / Sheets ? writing call scripts, SOPs, and brand guidelines
Square ? basic customer and order lookup for our retail brand
Nice to Have
GoHighLevel workflow building ? triggers, automations, and follow-up sequences, not just using the inbox
Copywriting ? ad copy, landing page copy, social captions, and SMS/email sequences written in brand voice
Basic WordPress ? able to edit pages and publish content without pulling in a developer
Canva or similar ? simple creative for social posts and ad variations
QA instinct ? testing forms, funnels, and quote flows from the customer's seat and reporting issues clearly
Familiarity with Make.com or similar automation tools ? enough to understand what's automated around you
WhatsApp Business experience
Background in home services, trades, or local business marketing
